Private Group Booking Terms and Conditions
Effective 1 October 2026
These terms apply to private group tours, corporate events, school excursions and Christmas period bookings.
Public tour tickets booked through our website or through Rezdy are covered by our general terms and conditions instead.
1. Securing your booking
A deposit secures your date. Your booking is not confirmed until the deposit is paid, and we are not able to hold a date indefinitely without one.

The deposit amount for your booking is stated on your quote and on your invoice.
All deposits are non-refundable. If your plans change, please read section 5 before cancelling, because moving your date keeps your deposit.
2. Minimum group sizes
Every tour has a minimum group payment. If your group is smaller than that minimum, the booking is charged at the minimum. The minimum for your tour is stated on your quote.
3. Final numbers
We will ask you for your final numbers and any dietary requirements four weeks before your tour date.
The number you confirm at that point is the number you are charged for, subject to the minimum above. If fewer people attend on the day, the booking is still charged at the confirmed number, because the venues and guides are booked on it.
If you need to add guests after confirming your final numbers, we will do our best to fit them in, but additional places are subject to availability at the venues we have booked. Additional guests are payable in full at the time of the change.
4. Final payment
The balance of your payment is due no later than 14 days before your tour date. Where that date falls on a weekend, your invoice will show the last business day before it.
Late payment may result in your booking being cancelled without a refund of the deposit.
5. Moving your date
You can move your booking to another date once, free of charge, provided you give us more than 14 days notice and the new date is available. Your deposit and any payments move with you.
Christmas period bookings can be moved once with more than 30 days notice, and only to another date inside the same Christmas period. Inside 30 days a Christmas booking cannot be moved and the cancellation terms below apply instead. December dates cannot be resold at short notice, which is the reason for the longer window.
Any further change of date is treated as a cancellation and a new booking.

Christmas dates are limited and cannot be resold at short notice, which is why the Christmas period carries its own timeframes.
The deposit is not refunded in any of these cases.
Worked example. A booking totalling $2,400 with a $960 deposit, where the $1,440 balance has also been paid. Cancel outside the relevant window and you receive $1,440. Cancel inside the middle band and you receive $720. Cancel inside the final band and you receive no refund.
7. If we cancel
If Oh Hey WA cancels your booking, we will always offer you an alternative date first. If that does not suit, you receive a 100% refund of everything you have paid, including the deposit.
In the event of circumstances beyond our reasonable control, we will offer you a change of date, a refund, or a gift voucher for the amount paid. Gift vouchers are covered in section 13.
8. Weather
Our tours operate in all weather, so please dress for the day. Rain is not a reason to cancel and our guides will adapt the route where it helps.
If the Bureau of Meteorology issues a severe weather warning for the area, we will contact you to move your date or refund you, less any costs we have already committed and cannot recover. We will tell you what those costs are.
9. School excursions
School excursions follow the terms above, with these additions.
Your deposit is the minimum student numbers for your excursion: 30 students for a primary school excursion, 25 for a high school excursion, 30 for a school scavenger hunt.
The balance is invoiced after the excursion, on the number of students who attend, subject to the minimum. Payment terms are 14 days from the invoice date.
We provide a risk assessment and our certificate of currency with your booking confirmation. If your school needs anything further for its own approval process, please ask and we will send it.
10. On the tour
Please tell us before the tour about any medical condition that could affect someone's participation. This includes epilepsy, dizziness, recent injuries, heart conditions, asthma, visual impairment, depression and recovery from surgery. We would rather know and plan around it.
Our tours are walking tours and participants join at their own risk. Everyone is asked to follow their guide's instructions, particularly around traffic and around licensed venues.
We may decline participation at our discretion. A guide may also ask someone to leave a tour already in progress, at the guide's own discretion, if that person is intoxicated, is behaving in a way that puts themselves, other guests, our staff or the venues we visit at risk, or is spoiling the experience for the rest of the group. No refund is given in that case, and the rest of the group carries on with the tour.
We reserve the right to modify routes, prices and departure times, and we will make reasonable efforts to deliver the arrangements as advertised.
We take photographs on tour and may use them to promote Oh Hey WA across our website and social channels. Tell your guide on the day if you would rather not be photographed and we will work around you.
11. Alcohol
Where a tour includes licensed venues, responsible service of alcohol applies. Our guides and the venues we visit may decline service at their discretion, and someone who has had too much may be asked to leave the tour under section 10. Oh Hey WA accepts no liability for incidents arising from alcohol consumption.
12. Insurance and liability
Oh Hey WA holds public liability insurance to the value of $20,000,000. A certificate of currency is available on request.
To the extent permitted by law, Oh Hey WA excludes liability for loss, injury or damage arising from a tour, and for delays.
This includes, in particular, loss or injury arising from a participant not following their guide's instructions, and from a medical condition that was not disclosed to us before the tour.
13. Gift vouchers
Gift vouchers purchased from Oh Hey WA are valid for three years from the date of purchase. Your booking must be made within that period, although the tour itself may fall outside it.
Vouchers we give away rather than sell, including competition prizes, raffle prizes and donations to fundraisers, may carry a shorter validity period. Where that applies, the expiry date is shown on the voucher and that date is the one that counts. Your booking must be made on or before it.
Gift vouchers are non-refundable, but they can be transferred between tours and given to someone else.
The one exception: where we have issued you a voucher because Oh Hey WA cancelled your booking, you can exchange it for a cash refund at any time within its validity period. That money is yours and the voucher is an option, not a substitute.
14. Accepting these terms
By confirming your booking or paying your deposit, whichever happens first, you accept these terms and conditions.
If you are booking on behalf of a group, you confirm that you are authorised to accept these terms for everyone attending, and you agree to pass on the information they need before the day. That includes the meeting point and start time, what to wear, the request to disclose relevant medical conditions, and the note about photography in section 10.
